Privacy policy (Datenschutzerklärung)

This policy explains what personal data is processed when you visit manoroffice.com or contact us, and what your rights are under the EU General Data Protection Regulation (GDPR).

1. Controller

Leela Tech GmbH
Moltkestraße 3A, 55118 Mainz, Germany
Email: support@manoroffice.com

2. The short version

  • This website uses Google Analytics only if you allow it in the cookie banner, and no advertising tools. Without your consent it sets no cookies (section 4).
  • All fonts and files are served from our own domain. The only third-party script is Google Analytics, after your consent.
  • If you email us or use the “Book a conversation” form, your details are used only to reply to you.
  • The Manor Office app sets one cookie, which is needed to keep you signed in (section 6).

3. Hosting and server logs

This website is hosted on Firebase Hosting, a service of Google. The provider is Google Cloud EMEA Limited, 70 Sir John Rogerson’s Quay, Dublin 2, Ireland.

When you open a page, the hosting provider automatically processes technical data that your browser sends: IP address, date and time of the request, the page requested, browser type and version, and the referring page. This is necessary to deliver the website and to keep it secure. The legal basis is Art. 6 (1) (f) GDPR (our legitimate interest in a secure, working website).

Data may be processed by Google in countries outside the EU, including the USA. Google LLC is certified under the EU–US Data Privacy Framework, and we have concluded a data processing agreement with Google (the Google Cloud Data Processing Addendum).

4. Website analytics (Google Analytics)

If you allow it in the cookie banner, this website uses Google Analytics 4 to count visits and see which pages are read and how visitors find us. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

Google Analytics sets cookies (_ga and _ga_…) with a random identifier that recognises your browser on later visits; they are kept for up to 2 years after your last visit. It collects the pages you open, the referring page, the time of your visit, interactions such as scrolling, clicks on links to other websites and file downloads, your approximate location (country and city, derived from your IP address), and your device, browser and screen size. Google processes this data on our behalf. Google Analytics 4 does not store IP addresses of visitors from the EU. Google Signals, advertising features and sharing the data with Google for its own purposes are switched off, and the data is not used for advertising. Detailed data in Google Analytics is deleted after 14 months; for returning visitors this period starts again with each visit.

The legal basis is your consent (Art. 6 (1) (a) GDPR and § 25 (1) TDDDG). Without it, the Google Analytics script is not loaded and no cookie is set. Your choice is remembered in your browser's local storage; this is strictly necessary to respect it, so no consent is needed for that (§ 25 (2) no. 2 TDDDG). You can withdraw your consent at any time with “Cookie settings” at the bottom of every page; measuring then stops and the cookies are deleted. Withdrawing does not affect the processing before it.

Data may be processed by Google LLC in the USA. Google LLC is certified under the EU–US Data Privacy Framework, and we have accepted Google's data processing terms for Google Analytics.

5. Contact by email and the “Book a conversation” form

If you email us, we process your email address, your name and the content of your message in order to reply to you.

If you use the form, we process your name, email address and role, and whatever else you choose to tell us: your office or organisation, phone number, how many properties and people your office has, what you would like to bring together, good times for a call and your message. Your browser also sends its time zone (for example “Europe/Berlin”) so we can suggest times that suit you. The form sets no cookies. The details are sent to our email inbox as one email, and you receive a short confirmation by email; nothing is stored on our servers beyond that. Both emails are sent through Brevo (Sendinblue SAS, 9-17 rue Salneuve, 75017 Paris, France), which processes them on our behalf under a data processing agreement and keeps a log of sent emails for 90 days.

Where your enquiry concerns a possible contract, the legal basis is Art. 6 (1) (b) GDPR; otherwise it is our legitimate interest in answering enquiries (Art. 6 (1) (f) GDPR). To protect the form from misuse, the server keeps your IP address in its memory for up to an hour and your email address for up to a day, only to limit how many requests and confirmations can be sent; the legal basis is Art. 6 (1) (f) GDPR.

We delete your enquiry once it has been dealt with, at the latest 12 months after our last contact, unless a contract results. If it does, or if the enquiry is a business letter we must keep, we keep it for as long as commercial and tax law require (usually 6 years, § 257 HGB and § 147 AO).

Our email inbox is hosted with Google Workspace, provided by Google Cloud EMEA Limited, 70 Sir John Rogerson’s Quay, Dublin 2, Ireland, which processes emails on our behalf under a data processing agreement. Data may be processed by Google LLC in the USA, which is certified under the EU–US Data Privacy Framework.

6. The Manor Office app (app.manoroffice.com)

The app is for invited people of the family offices we work for. Each office decides what it records in the app; for that data the office is the controller and we process it on its behalf, under a data processing agreement (Art. 28 GDPR) with that office.

  • Sign-in cookie. When you sign in, the app sets one cookie (__session) that keeps you signed in. It is strictly necessary for the service you asked for, so no consent is needed (§ 25 (2) TDDDG). It holds no tracking information and ends when you sign out, or after at most 12 hours. The app also remembers a few display choices in your browser (light or dark theme, the region you chose, whether the menu is folded); these stay on your device, are needed for the app to work as you set it, and are not sent to us. The app uses no analytics, tracking or advertising.
  • Where data is kept. Records and files are stored in Google Cloud in Frankfurt (Germany), each office's data apart from the others'. Files are private and only reachable through the app.
  • Maps and address suggestions. To show properties on a map and to suggest addresses while you type one, the app uses Google Maps, provided by Google LLC (USA). Your browser then connects to Google directly, so Google receives your IP address and the address text you type, and property addresses are sent to Google to find their position. Google LLC is certified under the EU–US Data Privacy Framework; the legal basis is Art. 6 (1) (b) and (f) GDPR.
  • Reading documents with AI. Only when someone in an office imports files, those files are read by Google's Gemini model in the EU to propose records. Google does not use them to train its models.
  • Emails. Sign-in codes, invitations and reminders are sent through Brevo (Sendinblue SAS, 9-17 rue Salneuve, 75017 Paris, France), under a data processing agreement.
  • Your rights in the app. Owners can download all of their office's data (Settings → Download data). Anyone can change their name and photo, and ask for their account to be deleted, on their profile page.

7. Your rights

You have the right to:

  • access the personal data we hold about you (Art. 15 GDPR);
  • have inaccurate data corrected (Art. 16 GDPR);
  • have your data deleted (Art. 17 GDPR) or its processing restricted (Art. 18 GDPR);
  • receive your data in a portable format (Art. 20 GDPR);
  • object to processing based on legitimate interests (Art. 21 GDPR);
  • withdraw consent at any time (Art. 7 (3) GDPR);
  • lodge a complaint with a data protection supervisory authority (Art. 77 GDPR).

The supervisory authority responsible for us is: Der Landesbeauftragte für den Datenschutz und die Informationsfreiheit Rheinland-Pfalz, Hintere Bleiche 34, 55116 Mainz, Germany.

To exercise your rights, email support@manoroffice.com.

8. Encryption

This website is served only over an encrypted connection (HTTPS/TLS).
